Privacy Notice

This notice explains how Webdynamics Software Solutions (Pty) Ltd (“Webdynamics”, “we”, “us”) collects and uses personal information when you contact us through this website. We process personal information in line with the Protection of Personal Information Act, 2013 (POPIA).

Who is responsible for your information

What we collect

When you complete the contact form, we collect the details you enter:

• Your name
• Your email address
• Your company name (optional)
• The project type and budget range you select
• The message you write to us

Our web host keeps standard server logs (such as IP address and browser type) for security and diagnostics.

Analytics

We use Plausible Analytics to understand, in aggregate, how many people visit the site and which pages and actions are popular. Plausible does not use cookies, does not store any information that identifies you, and does not track you across other websites. All figures are anonymous and aggregated. We do not use advertising trackers.

Why we use it

• To respond to your enquiry and discuss a possible project
• To prepare a proposal or quote if you ask for one
• To keep a record of our correspondence

Our lawful basis is your consent (which you give by ticking the box on the form) and our legitimate interest in responding to business enquiries.

Who we share it with

Contact form submissions are delivered to our inbox through Web3Forms, a form-delivery service that processes the submission on our behalf and does not use it for its own purposes. Email we exchange with you is handled by our email provider. We do not sell or rent your personal information, and we do not share it with anyone else unless the law requires it.

How long we keep it

In line with section 14 of POPIA, we keep personal information only for as long as it is needed for the purpose it was collected for, unless a law requires us to keep it longer or you have consented to us keeping it longer. In practice:

• General enquiries that do not lead to work: kept for up to 12 months after our last contact, then deleted.
• Enquiries that lead to a proposal or project: kept for the duration of the engagement and for 5 years after it ends, to meet record-keeping, tax, and other legal obligations (for example the Companies Act and the Tax Administration Act).
• If you ask us to delete your information sooner, we will do so unless a law requires us to keep a specific record.

When a retention period ends, records are securely deleted or destroyed.

How we protect it

We use reputable service providers, restrict access to your information to people who need it to respond to you, and take reasonable technical and organisational steps to guard against loss, unauthorised access, and misuse, as required by section 19 of POPIA.

Your rights

Under POPIA you may, at any time and free of charge:

• Ask what personal information we hold about you and request a copy
• Ask us to correct, update, or delete it
• Withdraw your consent (this does not affect processing done before you withdrew it)
• Object, on reasonable grounds, to our processing of it

We may update this notice from time to time. The current version is always the one published on this page, with the date shown above.
